Terms and Conditions
1. General Clauses
1.1. These Terms and Conditions (“Rules”) set forth the terms and conditions regarding registration for the “IDDA Awards 2025” competition (hereinafter – the “Competition”) organised by the Innovation and Digital Development Agency (hereinafter – the “ORGANISER”).
1.2. An applicant for participation (hereinafter – the “Applicant”), by completing this application form, shall be deemed to have unconditionally accepted these Rules.
2. Right to Participation
2.1. The right to participate in the Competition shall be granted only to persons who meet the criteria specified on the official “IDDA Awards” website (https://awards.idda.az/).
2.2. The ORGANISER reserves the right to reject an application or cancel the Applicant’s candidacy, by providing a justified reason, in cases where the application does not meet the established criteria. The ORGANISER shall notify the Applicant thereof, by providing a justified explanation, within ___ (3) working days, through the email address indicated in the application form referred to in Clause 1.2 of these Rules. An applicant who has submitted an application may withdraw his/her candidacy by submitting a request to the email address awards@idda.az no later than October 22. A withdrawal request shall be reviewed within 3 business days of its submission, and a decision regarding the cancellation of the candidacy shall be made accordingly. Detailed information regarding the stages, criteria, and jury evaluation is outlined in Clause 7 of the section “Selection of Winners.”
3. Right to Withdraw and Decline Participation
3.1. ORGANISER
3.1.1. In cases where the information provided by the Participant or Applicant is inaccurate, does not comply with the established criteria or Rules (https://awards.idda.az/), or fails to meet other legal requirements established by legislation, the ORGANISER shall provide the Participant or Applicant with a justified written notification and may grant the Applicant an additional period of 3 (three) business days to clarify, correct, or ensure the completeness of the information submitted through the application form. If the Participant or Applicant fails to take the necessary measures to remedy the issues specified above regarding the relevant application, the ORGANISER may cancel their participation or application.
3.1.2. The cancellation of a Participant’s mandate shall be communicated by the ORGANISER through a written notification.
3.2. Participant
3.2.1. The Participant shall have the right to decline participation in the Competition at any time within the period specified in Clause 2.2 of these Rules; however, the Organizer must be notified accordingly, as provided in Clause 7.2.1 of these Rules: “An Applicant who has applied may withdraw his/her candidacy by submitting a request to the email address awards@idda.az no later than October 22.”
3.2.2. The Participant shall have the right to decline participation in the Competition at any time within the period specified in Clause 2.2 of these Rules; however, the ORGANISER must be notified accordingly, as provided in Clause 7.2.1 of these Rules: “An Applicant who has submitted an application may withdraw his/her candidacy by submitting a request to the email address awards@idda.az no later than October 22.”
3.2.3. All intellectual property rights (including copyright and related rights) in the submitted materials shall belong to the Participant and/or the respective rights holder. If the submitted materials constitute a derivative work or an adaptation of an existing work, the Participant shall obtain the necessary consents from the original author or rights holder and shall notify the ORGANISER thereof. The submitted materials may be used by the ORGANISER solely for non-commercial purposes and in connection with the organisation of the “IDDA Awards 2025”.
3.2.4. In light of being selected as a winner, the Participant’s name; surname; company name; photos; videos; and other materials may be used in the promotion of the “IDDA Awards 2025”.
4. Consent to the Collection and Processing of Personal Data
4.1. The participant’s consent covers the collection and processing of personal data. The collected personal data is processed solely for the purpose of organising and conducting the “IDDA Awards 2025” competition. The data is entered into the platform by participants starting from September 22 and is stored on the official IDDA Awards website, where it is protected by appropriate technical and organisational measures. Personal data is processed and stored in the system for a maximum of 6 months from the end date of the “IDDA Awards 2025” competition. The participant's consent regarding the current Rules also applies to the collection and processing of their personal data. The collected personal data is processed solely for the purpose of organising and conducting the “IDDA Awards 2025” competition. Participants submit their personal data through the platform starting from September 22. Personal data is stored on the official website of the “IDDA Awards 2025” and is protected by appropriate technical and organisational measures. Personal data is processed and stored for a maximum period of 6 (six) months from the end date of the competition.
4.2. This consent form covers the processing of the following personal data obtained through the submission of the candidate's application form: surname, first name, email address, contact number, work address, position, LinkedIn profile address, and any other information required for each nomination as specified on the https://awards.idda.az/ website.
4.3. Personal data is not fully disclosed to the public; only the following information may be made public: first name, surname, LinkedIn profile provided by the participant in the application form (if available), the reason for the “IDDA Awards 2025” recognition, and a brief description submitted by the candidate. The purpose of collecting and processing personal data is to facilitate participation in the “IDDA Awards 2025” competition, support IDDA’s marketing activities (including surveys and research conducted by IDDA), and provide promotional materials by IDDA.
4.4. The collection and processing of personal data is carried out in accordance with the Constitution of the Republic of Azerbaijan, the Law of the Republic of Azerbaijan on “Personal Data,” and other applicable regulatory legal acts.
4.5. By this clause, the participant gives consent to the collection and processing of their personal data. This consent also covers the transfer of personal data to the competition’s jury and partner organisations (through provision or granting access) in cases directly related to the conduct of the competition.
5. Accuracy of Data
5.1. The participant is solely responsible for the accuracy, correctness, and timeliness of all information provided. If it is found that the submitted information is false, incomplete, or fraudulent, the participant may be disqualified from the competition.
6. Confidentiality of Data
6.1. The personal data provided by the participant is considered confidential and may only be disclosed to third parties in the following cases:

When required by the legislation of the Republic of Azerbaijan;

The information has already been made public;
-
The participant has given explicit consent for the disclosure of such information.
6.2. Except in the cases specified in clause 6.1 of these Rules, the transfer, dissemination, or disclosure of the participant’s personal data to third parties by any other means is prohibited.
7. Selection of Winners
7.1. The selection of winners is carried out based on pre-announced criteria. The criteria are published on the “awards.idda.az” website.
7.2. The IDDA Awards 2025 competition consists of three stages:
7.2.1. Registration of Candidates’ Applications: The registration of candidates’ applications refers to the official process by which individuals or organisations wishing to participate in the competition formally enrol in it. At this phase, the candidate provides the required information in the application form, attaches documents confirming compliance with the criteria, and submits the application in the system. After receiving confirmation of the application, the ORGANISER reviews the documents uploaded by the participant to verify their compliance with the criteria specified on the awards.idda.az website. If the participant fails to submit the correct documents for the relevant criteria, their candidacy will be cancelled. The participant will be notified of the cancellation of their candidacy via email. Application and registration period for the relevant stage: 22 September – 22 October 2025.
7.2.2. Public Voting: The public voting stage is the phase in the IDDA Awards where candidates are evaluated by a broad audience. The term “broad audience” refers to any individual member of the public. There are no restrictions on public participation in the voting, and anyone can take part in the online voting via the https://awards.idda.az/en/ website. Participants in the voting first review the candidates presented in the relevant nomination and then cast their vote for their chosen candidate. At this phase, the public becomes familiar with the candidates and votes for their preferred nominee. Based on the voting results, the top five candidates with the highest number of votes in each nomination are identified and presented to the jury. If a minimum of five (5) candidates is not submitted for a given nomination, the jury makes the final decision based on the evaluation of the existing applications (at least one). If no applications are received, the nomination is considered cancelled. This stage serves to measure the popularity and public impact of the candidates. Public voting period: October 27 – November 27, 2025.
7.2.3. Jury Voting: The jurors are professionals who hold relevant positions in the innovation ecosystem, have achieved tangible results in their fields, and are sufficiently recognised by the public. Their knowledge and experience provide a foundation for the objective evaluation of candidates, as well as for ensuring that the competition is conducted transparently and fairly. The jury voting stage is the final evaluation phase of the IDDA Awards. For each nomination, the top five candidates with the highest number of votes from the public voting stage are presented to the jury. The jury for the “IDDA Awards 2025” consists of individuals with expertise and credibility in the relevant nominations and is appointed by the ORGANISER. The jurors evaluate each candidate based on their expert opinion and the information provided by the candidates using a 150-point system (1st place – 150 points; 2nd place – 100 points; 3rd place – 50 points; the remaining two candidates with lower results – 0 points). Based on the voting results, the 1st, 2nd, and 3rd places shall be determined from among the five candidates receiving the highest number of votes in each nomination. The criteria established for the jurors differ for each nomination and take into account the specific characteristics related to that nomination. The jurors review the candidates’ submitted documents to assess their previous activities and experience, analyse the competitiveness of their work, and evaluate the impact they have created within the ecosystem. They also consider the candidate’s future development prospects, conduct a document-based verification, and ultimately evaluate the candidate based on the established criteria.
7.2.4. If no applications are received the nomination is considered cancelled. The jury’s decision is final and cannot be changed. Evaluation period: December 1 – December 7, 2025.
8. Force Majeure
The Organiser and the participant shall not be deemed liable for any action or inaction in the organisation of the competition and the announcement of winners due to extraordinary circumstances beyond their control and impossible to prevent.
Extraordinary circumstances include the following:
8.1. War, the commencement of military operations, or uprising;
8.2. Civil unrest, social conflicts accompanied by mass disturbances, or sabotage;
8.3. Explosion, fire, earthquake, flood, hurricane, and other natural disasters;
8.4. Epidemic, epizootic outbreak, or quarantine measures;
8.5. Embargo or confiscation by government authorities;
8.6 Delays resulting from legislation, executive actions, or court decisions;
8.7. Acts, orders, or decisions issued by legislative bodies, state authorities, or the government that prohibit the full or partial fulfilment of obligations.
